Getting started

Your first day: set up the business your team will run

The Setup page walks you through nine short steps, with a video for each.

Read instructions +
  1. Open Setup (from the Finish setting up card on Command). It lists nine steps: Business basics, Your brand, Set up Geni, Your phone number, Business email, Hire your team, Get paid, and the optional Texting and Social accounts. Do them in any order.
  2. Watch the short video on each step if you want the tour, then fill it in. Business basics and Your brand can be done right on the Setup page.
  3. Steps like Set up Geni or Get paid open the page that does the job. When you are done there, choose ← Back to setup in the top bar to return to the same step.
  4. A step ticks itself off once it is really done (for example, when your number is live or Stripe is connected). Choose Refresh if you just finished something in another tab. Optional steps can be skipped with Skip for now.
  5. When you are finished, read What happens next and choose Go to Command. You can hide the setup card there once you no longer need it.

What to expect

Geni answers calls and chat, your employees run the jobs you switched on, and anything that needs a decision appears under Needs you on Command.

If something goes wrong

“Connect a mailbox in Email first.” means a job or invoice tried to send before Email was connected. “Your employee seats are full. Add seats in Billing or pause an employee.” means your plan has no free seat. “Add Geni to your subscription first.” appears when you try to activate a number without the Geni add-on. If a step does not tick off, choose Refresh.

Watch the how-it-works videos

Every section has a short video at the top; all of them are in Training videos.

Read instructions +
  1. Open any section, such as Inbox, Calendar or Money. Under the page title is a card with the video for that section. Choose Play video.
  2. Choose Hide if you have seen it. The card shrinks to one line, and you can open it again any time. The Explainer button in the top bar plays the same video.
  3. Open Training videos in the sidebar to see all of them in one place.

What to expect

The videos are one to two minutes each and have no captions burned in.

If something goes wrong

If a video will not start, check your connection and try again; videos load from omniforgebusinessai.com. Hidden cards are remembered in this browser only.

Use Command to see what needs you

Run your team from here: tell Omni what you need, see your numbers, and make the few decisions only you can make.

Read instructions +
  1. Open Command. Near the top is the Omni bar: “Run your team from here. Tell Omni what you need.” Choose Talk to Omni, or click an example such as “Have Maya follow up with this week’s new leads”, and Omni hands the work to the right team member.
  2. The tiles show Calls today, Meetings · 7 days, New leads · 7 days, Open tasks, Unpaid and Paid this month. Click a tile to go to the page behind it.
  3. Work down the Needs you list. Each item says what is waiting, for example “Approve reply to …”, “Check …’s quote for …” or “Approve …’s newsletter”. Choose Review.
  4. Read the draft. Edit the Subject or Message if you want, then choose Send it (Send text for a text), or Skip this one to drop it. Use Give a task to hand work to one employee directly.

What to expect

Approved messages go out right away; approved weekly social posts are scheduled. Skipped items leave the list and nothing is sent. The red number next to Command in the sidebar is the same Needs you count.

If something goes wrong

“This message was already handled.” means someone approved or skipped it already. A draft can be stopped before sending with a reason such as “It was paid.”, “They unsubscribed.” or “The job was turned off.”; that is expected. If an item says it didn’t send, open it to see the reason, fix it (often the mailbox), and retry.

Your team: who does what, and what asks you first

Geni and Office Manager are built in; hire up to eight more roles and switch on their jobs.

Read instructions +
  1. Open Team. Geni (receptionist) and Office Manager (reviews requests that need follow-up) are always on. Under Hire more, add any of: Sales rep, Customer support, Bookkeeper, Estimator, Scheduler, Customer success, Social media manager, Marketing. Each hire uses one seat.
  2. Choose Settings on an employee. Under Standing jobs, switch on the work they should do by themselves. Jobs: Sales rep follows up new leads (1 hour, day 3, day 7). Customer support answers texts from existing customers. Bookkeeper chases unpaid invoices (1, 7, 14 days late) and emails you a Monday money summary. Estimator drafts quotes for pricing requests and chases open quotes. Scheduler rebooks no-shows and emails you tomorrow’s schedule. Customer success welcomes new customers and wins back quiet ones. Social media manager drafts weekly posts. Marketing asks for reviews and writes the monthly newsletter.
  3. For jobs that message customers, choose Ask me before each message or Send on its own and tell me. Quote drafts, weekly social posts and the newsletter always wait for your OK. The two summaries to you (Monday money summary, Tomorrow’s schedule) always send on their own.
  4. Switch a job off to cancel its scheduled messages. Use Pause this employee to stop all of their work without removing them.

What to expect

The roster shows each employee’s running jobs (“· asks you” when they wait for approval), what they are doing right now, and how many items wait for you. Jobs run in your business time zone from Booking hours.

If something goes wrong

Starter includes 3 AI employees, Growth 6 and Pro all of them; Geni and Office Manager never use a slot. “That employee can’t do this job.” means the job belongs to another role. A paused employee cannot take tasks (Give a task is disabled). Every follow-up stops automatically when the person books, replies, pays, accepts, unsubscribes or is marked handled.

Tasks: work you give your team or yourself

Only “Waiting for you” needs action; everything else runs on its own.

Read instructions +
  1. Open Tasks. The tabs are Waiting for you, Open, Done, Didn’t finish and All. Only Waiting for you needs you.
  2. Choose Give a task. Pick who it is for (Omni or an active employee) and a skill, then add a Task title and Task brief. For an email, add the recipient and subject.
  3. Choose Prepare for review (email and record updates) or Run task. When it is ready, open it: Approve & send an email, Approve & save changes for record updates, or Reject.
  4. To make a simple to-do for yourself, use the Tasks box on the Calendar page and assign it to Me.

What to expect

Preparing an email only makes a draft; nothing is sent until you approve. “Accepted by the email provider” confirms the provider took it, not that it reached the inbox.

If something goes wrong

“AI is not connected yet…” means AI work is unavailable on this installation, so the task is saved as blocked. “Please wait a minute before starting more work.” is a rate limit. “Resume the employee before approving.” means the employee is paused. If a send is uncertain (“Email submission is uncertain. Check the provider before sending again.”), check before retrying to avoid a duplicate.

Invite your staff to sign in

Give people on your team their own login, as an admin or a team member.

Read instructions +
  1. Open Members & workspaces at the bottom of the sidebar.
  2. Enter their email, choose Admin (can change settings; only you manage billing) or Team member, and send the invite. It expires in 7 days.
  3. They sign in with that email using a one-time code. No password needed.
  4. To remove someone or change their role, use the same page.

What to expect

Your staff work in the same office, each with their own login.

If something goes wrong

Starter includes 1 login (you), Growth 3 and Pro 10. If you see “Your plan includes N team logins,” upgrade in Billing or remove someone first. Pending invites count toward the limit until they expire or are revoked.

Talk to Omni, and find or archive old chats

Tell Omni what you need in plain words; it runs your team and keeps a saved chat history.

Read instructions +
  1. On Command, choose Talk to Omni in the Omni bar, or click one of the example requests to start with it already typed. Write what you need in plain words, like “Ask Nora how much we made this month”.
  2. Choose + New chat for a separate conversation. Search Conversation history by title and select one to reopen it; Rename it to find it later.
  3. Choose Archive to hide a chat. Tick Show archived chats and choose Restore to use it again. Choose Close in the Omni bar to put the chat away.

What to expect

Chats are saved. Work Omni hands out appears in Tasks, and emails it prepares still need your approval before sending.

If something goes wrong

An archived chat cannot be continued until you restore it. If a chat is missing, check Show archived chats and that you are in the right workspace.

Use the calendar, tasks list and video meetings

Geni’s appointments, your events, task due dates and your team’s scheduled work in one place.

Read instructions +
  1. Open Calendar and choose Week, Month or Agenda (the next 14 days). Use ‹, Today and › to move. Times are in your business time zone.
  2. Choose New event (or + on a day in Week view), fill in title, Starts, Ends and Status, optionally link a task, then Save event. Click an event to edit it.
  3. Choose Join on a confirmed video meeting to enter as host. Guests can join from 1 hour before start until 3 hours after the end using the link in their email.
  4. Use the Tasks box to add a task with a due date and assign it to Me or an employee. Your team’s scheduled work shows what they will send in the next 7 days; items marked Waiting for you are on Command.

What to expect

Events are internal: they don’t send invitations or sync with Google or Outlook. Moving or cancelling an event that has a video meeting moves or cancels the meeting too.

If something goes wrong

Video meetings hold 2 people on Starter (you and your customer), up to 4 on Growth and up to 8 on Pro, including you. Each phone or computer that opens the meeting link takes a seat; when it’s full, anyone else sees “This meeting is full.” “This time overlaps a confirmed event. Choose another time or keep it tentative.” Confirmed events can’t overlap. “End time must be after start time.” Clicking a Geni appointment opens Customers, because bookings are managed there to keep confirmations in sync.

Video meetings with customers

Private video calls built in, with no Zoom and no downloads, and how many people can join.

Read instructions +
  1. When an appointment is a video meeting, your customer gets a private link in their confirmation email, plus reminders a day and an hour before.
  2. At meeting time, open the appointment on Calendar or Command and choose Join. Your customer opens their link, which works on a phone or computer with nothing to download.
  3. Meeting size depends on your plan, including you: Starter 2 (you and your customer), Growth up to 4, Pro up to 8.
  4. Each phone or computer that opens the link takes a seat. Rejoining from the same device keeps the same seat. If the link is forwarded and the meeting is full, extra people see “This meeting is full.”
  5. You, as the host, can always join, even when every guest seat is taken.

What to expect

Face-to-face meetings with customers, right inside OmniForge.

If something goes wrong

“This meeting is full.” Everyone allowed by your plan has joined, or a guest switched devices (each device takes a seat). Upgrade in Billing for bigger meetings. The guest link opens an hour before the start and works until 3 hours after the end. If a customer missed the meeting, your Scheduler can offer to rebook.

Track customers through your pipeline

New lead → Contacted → Meeting booked → Quote sent → Customer, plus Lost.

Read instructions +
  1. Open Customers. Everyone who called, texted, chatted, booked or paid is here. Switch between Board and List, and search by name, email or phone.
  2. Stages move on their own: Contacted after you or your team reply or follow up, Meeting booked when a meeting or appointment is booked, Quote sent when a quote goes out, Customer when a live invoice is paid.
  3. To move someone yourself, use the stage menu on their card or row. You can move them forward or to Lost; choose Auto to return to the automatic stage.
  4. Open a customer to see their conversations, or start a New quote or New invoice.

What to expect

Each stage shows the next step (for example Meeting booked → Send a quote). Open quotes shows the value of quotes waiting for an answer.

If something goes wrong

You can’t move someone back behind their automatic stage, only forward or to Lost. Lost stays until you change it. Stages match by email address, so a phone-only caller stays a New lead until an email is known. “Customer not found.” means the record changed; reload.

See every call, text and chat in the Inbox

What each person said, and what your team did about it.

Read instructions +
  1. Open Inbox. Filter by All, Needs you, Following up, Booked, Calls, Email, Texts or Chat. Email rows open on the Email page.
  2. Select a conversation to read the transcript, the answers to your booking questions (What we learned) and the outcome.
  3. For follow-ups, choose Send it or Skip this one on a waiting draft, or Stop follow-ups. Use Mark handled when nothing more is needed.
  4. In a text thread, type in Reply by text and choose Send text.

What to expect

Booked calls show the time and that the confirmation and video link were emailed. Calls where the caller hung up are hidden unless you choose Show.

If something goes wrong

If Reply by text is missing, the reason is shown instead, for example “Texting isn’t registered on your number yet.” or “This person replied STOP, so they can’t be texted.”

Set up Geni and online booking

What Geni says, what she knows, and when she can book.

Read instructions +
  1. Open Settings → Geni, your receptionist. Add your business name, portal address, Geni’s welcome and Customer-safe business information. Only what you put here is shared with customers.
  2. Add up to 10 Questions Geni asks before booking a call (one per line). She always asks for name and email first.
  3. Tick Enable customer portal and choose Save settings. Use Preview portal to check it, and Try talking to Geni to test her voice.
  4. In Settings → Booking hours, tick Let Geni and your booking page take appointments, choose the booking length (30 minutes by default) and your time zone, then click or drag across the weekly grid to mark when you’re available. Use Weekdays 9–5 as a quick start.
  5. Once customers book, orange dots on the grid show your busiest times over the last 90 days, so you can add hours where demand is and change the booking length if appointments run long or short.

What to expect

Geni offers appointments of your chosen length (30 minutes unless you change it) inside the times you marked on the availability grid, at least an hour ahead and up to 30 days out, and never over confirmed calendar events. When the customer confirms, she books it, adds a video meeting (when a guest email is known), creates a follow-up task, emails a confirmation, and sends reminders 24 hours and 1 hour before.

If something goes wrong

If callers hear that online booking isn’t enabled, turn on Let Geni book appointments. “That portal address is already in use.” means choose another address. Confirmation emails need a connected mailbox. By phone or text Geni won’t cancel bookings for privacy; cancel from Customers → Upcoming appointments.

Get a phone number for Geni

Add the Geni add-on, then choose and activate a US number.

Read instructions +
  1. Open Plan & billing and add Geni to your plan (Review adding Geni). An active paid plan is required.
  2. Open Settings → Phone number. Enter an area code if you like, choose Find available numbers, then Request this number. Requesting does not buy it.
  3. Choose Activate with my Geni subscription.
  4. Call the number to test. The call appears in Inbox.

What to expect

Geni answers calls on the number (calls up to 10 minutes). To send and receive texts, also register it on the Texting page.

If something goes wrong

“Add Geni to your subscription first.” or “An active paid Geni add-on is required.” means finish billing first. “This number is no longer available or needs additional registration. Search again.” If activation isn’t available yet on this installation, the Activate button stays disabled; contact support.

Extensions, call forwarding and voicemail

Let Geni connect callers to the right person, and take messages when nobody answers.

Read instructions +
  1. Open Settings → Geni and scroll to Extensions, forwarding & voicemail.
  2. Add an extension for each person or department: a number (1–99), the name callers ask for, the phone to ring, and an email for alerts.
  3. Choose who answers first: Geni, or your own phone (Geni picks up if you don’t).
  4. Optional: turn on the keypad menu so callers who know an extension can dial it.
  5. Callers can ask Geni for someone by name. If that person doesn’t answer in about 20 seconds, the caller leaves a voicemail.
  6. On the road? Each message is emailed to you with the words written out. Call your Geni number from your transfer phone to hear new messages, or open Voicemail in the app.

What to expect

Calls reach the right person, and no message gets lost.

If something goes wrong

Starter includes 3 extensions, Growth 10 and Pro 25. Forwarded call time and voicemail count toward your plan’s phone minutes. Geni calls are limited to 10 minutes. Text alerts need business texting to be approved.

Listen to voicemail, in the app or by phone

Every message is written out and emailed to you; play it in Voicemail or call in from your phone.

Read instructions +
  1. When a caller leaves a message you get an email with the words written out and a Listen button (and a text, once business texting is approved).
  2. Open Voicemail in the sidebar. The number next to it is how many are new.
  3. Choose Play to hear a message, Call back to ring them from your phone, and Mark as heard or Delete when you’re done.
  4. Away from your desk? Call your Geni number from your transfer phone (or an extension’s phone). You’ll hear “You have 2 new messages. Press 1 to listen.”

What to expect

You never miss a message, even on the road.

If something goes wrong

Owners and admins see every box; team members see messages for extensions that use their email. Messages up to 2 minutes are transcribed. Voicemail time counts toward your plan’s phone minutes. Set up extensions and your transfer phone in Settings → Geni.

Register your number for texting, or turn texting off

US carriers require a one-time business registration before business texts are delivered.

Read instructions +
  1. Open Settings → Texting (you need a phone number first). Choose My business has an EIN (tax ID) or Sole proprietor, no EIN, and fill in the business details, address and contact.
  2. Tick the authorization box. The page shows the one-time setup fee and the monthly carrier fee added once texting is live. Choose Pay … and register (or Register for texting if fees are waived) and pay with Stripe.
  3. Wait for the carriers, usually a few business days. The page checks every hour; choose Check now to check sooner. Sole proprietors must reply to the carrier’s confirmation text within 24 hours.
  4. To stop, open Turn off texting and confirm. To start again, choose Turn texting back on; there is no new setup fee.

What to expect

When live, Geni texts new people, your Customer support employee answers existing customers (if Answer customer texts is on), and you can reply from Inbox. The first text to anyone includes “Reply STOP to opt out.”

If something goes wrong

Rejections show the carrier’s reason; fix the details and submit again. “An EIN has 9 digits.” “Use a 10-digit US or Canadian number.” Messages mentioning refunds, cancellations or complaints always wait for you. Turning texting off removes the monthly fee with a prorated credit; calls keep working.

Answer email with your team

Your team drafts replies; you approve, edit or redraft them.

Read instructions +
  1. Open Email. Needs you holds everything waiting for you. Inbox, Sent, Archive and your folders are on the left.
  2. Open a conversation. If a draft is waiting, edit it and choose Approve & send, or type what to change in Ask for changes and choose Redraft. Use Reply to write your own, Draft with AI for a new draft, or No reply needed to clear it.
  3. Use Archive or Move to… to file it; New folder creates a folder. Tick several conversations to Archive, Move to… or Delete them together (up to 50 at a time).
  4. Choose New email to write from scratch.

What to expect

Your team triages each email (category, urgency, summary). Newsletters, notifications and spam become No reply needed. New mail on an archived conversation brings it back to the Inbox. Deleted conversations go to Trash in checkemail.click.

If something goes wrong

“This draft changed. Refresh and review it again.” means someone else edited it. If you see “We couldn’t confirm the last reply was sent”, check your Sent folder on checkemail.click before replying again. “The email connection was revoked or expired. Reconnect email.” An owner or admin can choose Reconnect.

Connect your mailbox and set email rules

Choose who handles each kind of email and when replies can go out on their own.

Read instructions +
  1. Open Email → Mailbox settings. Connect with your own domain (Set up email, add the DNS records, Verify, then Create mailbox) or with Connect checkemail.click.
  2. Under What employees may do, set Handled by and Replies for each kind of email (support, sales, billing, scheduling, other): Leave for me, Draft for my approval, or Send automatically when confident.
  3. Add a Signature added to every reply, choose whether to email meeting reminders, and choose Save.

What to expect

Automatic sending happens only when the employee is confident, has every fact it needs, and the email isn’t urgent or about a booking change; otherwise it waits in Needs you.

If something goes wrong

“No employee can handle … email yet” means hire Customer support or Sales, or choose who handles it. DNS changes can take up to an hour to be seen. Owners set up domains and disconnect; owners and admins change rules and mailboxes.

Connect Stripe and send invoices

Invoices go from your own Stripe account; the money goes straight to you.

Read instructions +
  1. Open Money → Invoices. Press Open Stripe: Stripe opens a new key with the right access already filled in. Click Create key at the bottom, copy the key (it starts with rk_live_) and paste it back, then press Connect.
  2. Choose New invoice, enter the customer, lines and due date, and choose Create & email invoice.
  3. Open an invoice to View invoice, Email it again or Void it. Reminders your Bookkeeper drafted appear with Send it or Skip this one.

What to expect

The invoice is created in your Stripe and emailed from your mailbox with a secure payment link. Payment status is checked with Stripe every hour; paid invoices stop reminders and are added to Books as income.

If something goes wrong

“Stripe refused that key…” means the key lacks the needed permissions. “Created in Stripe, but the email didn’t send: Connect a mailbox in Email first.” Connect Email, then Email it again. Only unpaid invoices can be re-sent or voided. A test key puts you in test mode, and test invoices never go into Books.

  2. Open Quotes and choose New quote. Pick items from your price list, set Valid for (days), and choose Send quote.
  3. When the customer accepts, choose Invoice to turn the quote into an invoice.

What to expect

The customer gets an email with a link to Accept quote or Decline. With the Estimator hired, pricing questions to Geni become draft quotes for you to check on Command, and open quotes are chased until the customer decides.

If something goes wrong

Only drafts can be edited or discarded. “This quote was already invoiced.” Quotes expire after their valid date; send a new one. Sending needs a connected mailbox.

Keep your books: income, expenses and tax set-aside

Paid invoices are recorded for you; add or forward your expenses.

Read instructions +
  1. Open Money → Books and choose a period. Paid live invoices are already recorded as income.
  2. Choose Add expense, enter the date, amount and payee, and attach a receipt photo if you have one. Leave Category on Let Nora pick, or choose one.
  3. Forward receipt and bill emails from your own address to your business mailbox. Your Bookkeeper files them under To review; choose Looks right or Edit.
  4. Choose Export for accountant for a CSV of the period.

What to expect

Tiles show Income, Expenses, Profit, Set aside for taxes (a % of profit you can change, 25% by default) and the next estimated tax date. These are estimates to help you plan, not tax advice; ask your accountant.

If something goes wrong

Receipts must be a photo (PNG/JPG) or PDF. Only emails forwarded from a team member’s own address are filed. Only entries you added yourself can be deleted. Items in To review can be edited before you approve them.

Send your books to QuickBooks

Your entries become journal entries in QuickBooks Online.

Read instructions +
  1. Open Money → Books and choose Connect QuickBooks, then sign in to Intuit and pick your company.
  2. Choose Sync now to send entries.
  3. Keep working in Books as usual. When you delete an entry you added, or change one that was already sent, QuickBooks is updated too.

What to expect

Each entry becomes a journal entry between its category account and a bank account named OmniForge Payments (both created if missing). Items still in To review are sent after you approve them, on the next Sync now.

If something goes wrong

QuickBooks sync is included on Growth and Pro; on Starter you’ll see “QuickBooks sync isn’t in your plan.” “Connect QuickBooks first.” If it shows Coming soon, QuickBooks isn’t available on this installation yet. Failed entries are retried on the next sync; errors start with “QuickBooks:”.

Read instructions +
  1. Open Marketing and choose Connect next to Facebook and Instagram. Share your business Pages; linked Instagram business accounts come too.
  2. Click an account’s name to switch posting on or off for it. With several Pages, all start off.
  3. Choose New post. Write it (or Ask … to write it), add a photo, tick where it goes, then Post now or Schedule for a date and time.
  4. Check Scheduled to edit, reschedule or cancel posts, and History to see where each one went.

What to expect

With a Social media manager on your team, three posts are drafted every Monday for you to approve on Command; approved posts go out at 10 AM on their day to every account with posting on.

If something goes wrong

No photo? Choose Create a photo with AI, describe it (or keep the suggestion from your post), and choose Create photo. It takes about 20 seconds; check it before posting. Growth includes 40 AI photos a month and Pro 100. AI photos are illustrations, so don’t present them as real customers or results. Send review requests and a monthly newsletter

Your Marketing employee writes them; you approve; we send them from our marketing email service.

Read instructions +
  1. Open Settings → Marketing once and add your Google review link and Business mailing address (the address is required on marketing email). Choose Save.
  2. Open Marketing in the sidebar. At the top, the Email newsletter section lets you switch the Monthly newsletter on, say what the next one should feature, and see this month’s marketing email: newsletters sent, review requests, unsubscribes and anything still sending.
  3. When a draft is ready, the Email newsletter section (and Needs you on Command) shows Review and send. Edit the subject and any words, then approve. Nothing goes out until you do.
  4. Customers get a designed newsletter: your logo, a headline banner in your brand color, each section with its own heading, a Book an appointment button, and your address and an Unsubscribe link at the bottom. Set your logo and color in Settings → Business info.
  5. For review requests, open Team, choose your Marketing employee’s Settings and switch on Ask happy customers for reviews.

What to expect

The newsletter is drafted on the first Tuesday of each month. Review requests go about 2 hours after an appointment ends or an invoice is paid, at most once per customer every 90 days. Every marketing email carries your logo and brand color, your mailing address and an unsubscribe link.

If something goes wrong

Newsletters and review requests are included on Growth and Pro. “Add your Google review link in Settings first.” “Your customer list is empty.” means no one with an email yet. People who unsubscribed, bounced or marked an email as spam are skipped automatically. See How marketing email is sent for who it comes from and why a big list may take a few days.

How marketing email is sent

Newsletters, review requests and win-back emails come from our marketing email service, with replies going to you.

Read instructions +
  1. Marketing email (newsletters, review requests and win-back emails) is sent by OmniForge’s marketing email service, not your own mailbox. It shows your business name as the sender, from a news@ address on our marketing domain.
  2. When a customer replies, the reply goes straight to your business email, so you see it in your Inbox as usual.
  3. Everyday one-to-one email, like replies to customers, quotes and invoices, still comes from your own mailbox.
  4. Every marketing email has a one-click unsubscribe (the kind Gmail shows at the top) plus an unsubscribe link and your address at the bottom.

What to expect

Your own email address stays protected, because bulk email never goes out from it, and customers can still reach you with a simple reply.

If something goes wrong

Large newsletters may take a few days to finish sending. We send a set number of marketing emails each day across all businesses to keep delivery healthy, and the rest go out automatically the next day. Addresses that bounce, or people who mark an email as spam, are removed from future marketing email automatically. If a customer says they didn’t get it, ask them to check their spam or promotions folder and add the sender to their contacts.

  4. Come back any time. Your conversations are saved under Your conversations and are private to you.

What to expect

You get specific, step-by-step advice and a clear recommendation you can act on.

If something goes wrong

The first time, you’ll be asked to confirm you understand the advisors are AI and give general guidance, not legal, tax, accounting or investment advice. Your conversations are saved and private to you: reopen them from Past conversations, delete one with ×, or use Clear history / Clear all history. Starter includes Marcus and Jasmine; Growth and Pro include all six. Each answer uses one AI action from your monthly allowance.

Plans, free trial and add-ons

Starter, Growth and Pro: what each includes, the 14-day trial, and how to switch.

Read instructions +
  1. Starter ($79/month): 3 AI employees you choose, 1,000 AI actions a month, 1 team login, 3 phone extensions, video meetings for 2 (you and your customer). Add Geni’s phone for $59 more (150 minutes).
  2. Growth ($149/month): 6 AI employees, 3,000 AI actions, Geni with 400 minutes, social posting, QuickBooks sync, newsletters, review requests, all 6 advisors, 40 AI photos a month, 10 extensions, 3 team logins and video meetings for up to 4 people.
  3. Pro ($299/month): all 10 AI employees, 8,000 AI actions, Geni with 1,000 minutes, everything in Growth, 10 team logins and API access. Video meetings for up to 8 people, 25 extensions and 100 AI photos a month.
  4. Every plan starts with a 14-day free trial (card required, one per business). During the trial usage is capped at 500 AI actions and 60 voice minutes.
  5. To switch, open Plan & billing and choose Switch to on another plan. The difference is prorated on your next invoice.
  6. Need more phone time? Choose Buy extra minutes: 250 minutes for $39, added to this month.

What to expect

Changes show right away; choose Refresh billing status if something looks out of date. Texting adds a monthly carrier fee once your number is approved.

If something goes wrong

Only the workspace owner can change billing. If a feature says it isn’t in your plan, upgrade to turn it on. To move to a smaller plan, pause AI employees first so you fit its limit. A complimentary plan can only be changed by support.

Connect another system with an API key

Let your own software read customers, invoices, tasks and calendar, or add tasks, notes and events.

Read instructions +
  1. Open Settings → Connections & API keys, then API keys (owners and admins).
  2. Name the system, tick only the permissions it needs, choose an expiry, and choose Generate key. Copy it now; it can’t be shown again.
  3. Follow the API guide to call it from your server. Revoke keys you no longer use.

What to expect

The key can read tasks, notes, calendar events, customers (with pipeline stage) and live invoices, and create tasks, notes and calendar events, as permitted. It cannot send messages, run AI or approve work.

If something goes wrong

API access is included on Pro. 401 means the key is wrong, expired or revoked; 403 means it lacks that permission; 429 means wait a minute. A workspace can have 20 active keys.

Troubleshooting

An email or message didn’t go out

Find out whether it is waiting, stopped or failed.

Read instructions +
  1. Check Needs you on Command and in Email. Most messages wait for your approval unless the job or email rule is set to send on its own.
  2. If it shows Didn’t send or Not sent, read the reason. Common ones: “Connect a mailbox in Email first.”, “They unsubscribed.”, “It was paid.”
  3. If Email shows Check delivery, look in your Sent folder on checkemail.click before sending again.

What to expect

A message counts as sent once the email provider accepts it; that doesn’t guarantee it reached the inbox.

If something goes wrong

If the reason isn’t clear, open a support ticket with the customer’s name and the exact message shown. Don’t resend repeatedly; you may send duplicates.

Open a support ticket

Get help from the OmniForge team and follow your ticket in the app.

Read instructions +
  1. Open Support tickets at the bottom of the sidebar, or Help & feedback on any page.
  2. Choose what it’s about and how urgent it is, add a subject and the details, then Send to support.
  3. We email you when we reply. Open the ticket to read it and answer. Each ticket shows its status: Received, In progress, Waiting on you or Resolved.
  4. When it’s sorted, choose Mark as resolved. Reply any time to reopen it.

What to expect

Your ticket goes straight to our support team with your workspace and plan attached, so you don’t have to explain your setup.

If something goes wrong

Each person sees their own tickets. For urgent problems choose High. If the form won’t send, email support@yrcmd.com.

Getting started

Try the demo

Explore a sample business without sending anything.

Read instructions +
  1. Open the demo to explore the fictional Brightside Home Care.
  2. Follow the guided walkthrough: Geni answers a new caller, the lead moves through your pipeline, your Estimator drafts a quote, and the customer pays.
  3. Then explore the rest from the sidebar: Voicemail (extensions and messages), Calendar (a video consult with a Join button, and the booking-hours grid with booking length and busiest times), Marketing (the Email newsletter section, just like your own: switch the monthly newsletter on or off, open the waiting draft with Review and send, see What customers see (the finished newsletter with the logo, color banner, sections, booking button and footer) or switch to Edit the words, then approve it, choose what to feature next, and see the last 30 days of newsletters, review requests and unsubscribes; plus scheduled social posts) and Advisors (sample answers from the AI advisors).
  4. Choose Reset to start over.

What to expect

Replies are scripted. The demo does not send email, make calls, charge a card or run live AI.

If something goes wrong

Nothing in the demo is saved to a real workspace. Don’t enter private information.
